What is WebRetrieve?
WebRetrieve is the online system on which KU patrons submit their requests.
What is Interlibrary Loan?
Interlibrary Loan is a service that provides access to materials not owned by the KU Libraries. Through cooperative agreements, participating libraries share their collections with students, faculty, and staff from other libraries.
What are Document Delivery and Retrieve from Shelf?
Document Delivery and Retrieve from Shelf are services that provide delivery of KU owned materials.
Who can use Document Delivery, Retrieve from Shelf, and Interlibrary Loan?
KU faculty, graduate students, undergraduate students, staff, and affiliates with a valid KUID, and in good standing, are eligible to use these services. This includes emeritus faculty and retired staff.
The book I need is held at a different KU Library. How do I get it?

I’d like a copy of a print journal held by the KU Libraries. How can I get it?
Make sure we have not licensed full-text access to it by checking http://www.lib.ku.edu/ejournals.cfm If not, search the KU Online Catalog. Log into WebRetrieve and submit your request on the “Article Available in KU Libraries” request. For more information see http://www.lib.ku.edu/retrievalservices/ddinfo.shtml.
The book I need isn’t on the shelf/damaged/missing/declared lost/checked out. How do I get it?
Interlibrary Loan specializes in obtaining materials from other libraries. This includes items owned by KU Libraries that may be in use, whether they are checked out to other users or in use by library staff for binding or repairs. You may also request items declared lost or missing.
When requesting these materials, please note on the form if the book is damaged, has missing pages or that it is simply not on the shelf.
If you cannot locate the book on the shelf, place a Retrieve
from Shelf request or if the item is not eligible for Retrieve from Shelf then complete a “Green Search
Card” at
a KU Libraries Service Desk.
Can I request an article from a journal that is currently not available in the KU Libraries?
All valid KU patrons can request articles from material not available at the KU Libraries via WebRetrieve.
My citation isn’t complete. Can I still request it?
Many citation styles don't include all the publishing information. The more information you can provide about the citation the easier it will be for us to locate. If you are unable to supply the minimum citation information asked for, KU Libraries staff at any KU Libraries Service Desks can help you locate complete information. If it is impossible to fill in all the required fields use a “?” or “n/a” as necessary.
Additional information may be added to the Note field to help fill your request.
Are some materials more difficult to borrow?
KU Libraries is committed to an effective national, and even international, interlibrary loan network where libraries are sending as much material as possible as balanced by what they attempt to obtain for their own patrons. As of October 2, 2006, there are two categories of materials which the KU Libraries are not willing to lend to other libraries through interlibrary loan. Therefore we will not attempt to borrow these items. Please contact Interlibrary Loan staff who can work with you to find alternative means of obtaining this information
1) LPs
2) Maps created prior to 1946
All libraries have certain materials they prefer not to loan. Items that usually won’t be loaned include entire issues of current year magazines, journals or other serials, items in the reserve collection, reference books, genealogy, archive materials, electronic files and paper newspapers. Many libraries also choose not to loan rare or fragile materials. Often it depends on which libraries own the material and their individual lending policies.
One major source for some of our more difficult to obtain materials is the Center For Research Libraries. http://www.crl.edu/ As members, we are able to borrow items on your behalf for an extended period of time.
Recently published materials can be difficult to obtain because libraries may not have purchased and/or cataloged them yet.
How soon can I receive what I want?
Around 60% of articles are received within two days. Around 50% of loans are received within 7 days. Delivery time is dependent on the library sending the material and the availability of the requested material. Click here for more information on turnaround.
Document Delivery and Retrieve from Shelf items are typically ready for you within three weekdays.

Is there a limit to the number of items I may request?
There is no limit. However, if you are turning in a large number of requests at one time, it is a good idea to prioritize them (by including a note in the special messages field on WebRetrieve or attaching a note). It may not be possible for staff to process all of your requests immediately, and if many items arrive in a short space of time it may be difficult for you to consult them all in the typically short time that lending libraries allow.
Can someone else pick up material for me?
Faculty, staff, and graduate students can designate a KU affiliated proxy to
pickup their materials by completing a form at the Watson Service Desk. All
authorized users and proxies are required to present their KU ID card to library
staff when picking up materials. The requesting patron retains responsibility
for all materials obtained via document delivery and interlibrary loan.
What is my KUID WebRetrieve Login number?
Your KUID number for logging into WebRetrieve is
the last 8 digits from your 16 digit number above your name on your KUID card.
Only customers in good standing with a valid KUID card are eligible for document
delivery and interlibrary loan service.
How will I be notified when my materials are here?
When material is ready for your use, our system will email you telling
you where to pick up the material.
KU books will be held at the library location of your choice, as designated in
your requests.
Loans received from other libraries through interlibrary loan will be held at
the library location of your choice, as designated by your choice in WebRetrieve.

Articles delivered electronically are accessible through your electronic delivered
materials from WebRetrieve main
Menu via the Logon page.
Can I ask for a renewal on an Interlibrary Loan?
If renewals are allowed (note any restrictions under PLEASE NOTE THESE LENDING
RESTRICTIONS), renewals for non-KU items must be requested before the due date.
To renew contact Interlibrary Loan to update
your account. Staff members will help you and provide you with the new due
date.
Please Note: The lending library is solely responsible for the decision of
how long to extend the due date. The lending library may decide not to renew
the material, even if renewal requests are allowed. If a renewal is denied
or the due date shorter than originally assigned, Interlibrary Loan Staff will
contact you via email with the new due date. Materials must be returned by
the due date to avoid fines.
Where do I return the Interlibrary Loan materials?
Materials may be returned to any KU Library. You are responsible for ensuring
that Interlibrary Loan material is returned to the KU Libraries in the same condition
it was when you checked it out.
Please DO NOT remove any paperwork from the borrowed material. This increases
the chance for the material to become lost and for you to be charged for the
material.
What do I do if I have printing problems?
If you are encountering problems viewing or printing your article(s) please make
sure you are following these recommendations:
Download your article and then save to disk. This works best if you are trying
to access your article via a dial-up or other slow internet connection. The articles
are in PDF format and are rather large, so it is best to download the file completely,
save it to an area on your computer’s hard drive, and then print or view your
articles off-line.
Be sure you have the latest Adobe Acrobat Reader installed on your PC. You must
have Adobe Acrobat Reader installed on your computer and we recommend that you
have the latest version.
