What is the Annex?
In order to accommodate growing collections and to create improved on-site library spaces for our users, a selection of library materials has been re-located to an offsite facility called the Annex.
How can you tell which items are located in the Annex?
Materials shelved in the Annex are identified in the Libraries' Online Catalog with the following location designation: "You may request this item at any service desk (Annex)."
How do you gain access to materials shelved in the Annex?
- Since the Annex is not open to the public, library staff will retrieve items daily Monday through Friday, excluding holidays. The goal will be to have articles or items typically available within one working day of receiving the request.
- If the user is able to identify a specific article or articles, or the page numbers needed, the library would prefer to provide copies rather than making the physical piece available for loan.

Request copies of articles from print journals in the Annex:
- Eligible KU faculty, staff, students, and affiliates may request copies of articles from journals held at the Annex on WebRetrieve.
- Copies are typically delivered electronically to patrons within one to
one and half weekdays of request submission through WebRetrieve.
- If the item cannot be found, the request will be returned to the patron or forwarded to ILL depending on the patron's date item is no longer needed.
Request to borrow materials from the Annex :
- Eligible KU faculty, staff, students, affiliates, and resident/reciprocal borrowers may request loans of materials from the Annex by submitting a Retrieve From Shelf request under the Recalls and Requests button on the KU Libraries Online Catalog. For more information on this service, please click here. If you have difficulties, please consult a KU Libraries Circulation or Reference Desk staff person.
- Items requested by 9:30 a.m. Monday through Friday, excluding holidays,
will typically be made available at the patron's selected pick-up circulation
desk location within one weekday following the receipt of the request.
- Users will be notified an item is available with an Item Available Notice, usually sent via email. The requested item(s) will be held for 10 days from the date on the notice.
- Most Annex items will circulate to borrowers as long-term loans if the period of authorization allows (6 weeks for undergrads and resident/reciprocal borrowers; 4 months for faculty, grad students, staff, affiliate, and KU Other).
- Annex items may be returned to any KU Libraries location.
- If the item cannot be found, the request will typically be returned to the patron via email.
