Questions & Answers: Watson Library Reference Collection Review


Q1:    Why are reference collections being reviewed?  Are you removing reference books?

A1:      It is standard management practice in libraries to review collections on a fairly regular basis.  Some of our reference collections, including Watson Library’s main collection, have not been reviewed for a very long time.  As part of a reference review this summer, we will move select older editions, especially those for which we have purchased newer editions, to circulating collections. 

Q2:      What impact will the location of a new service desk and enhanced user spaces on the 3rd floor of Watson have on the reference collection? 

A2:      The new service desk being installed in Watson will have no impact on the reference collection.  However, as a result of reviewing our reference collections, we believe we will reduce our reference shelf space by approximately 50 percent.   Any space gained will become user space. 

Q3:      How are decisions being made about which materials to move?

A3:      Librarians and subject specialists with extensive knowledge of the collections will be reviewing titles and making these decisions. They will consider the general usefulness of the materials as reference tools for research, the age and availability of newer editions, and whether or not the information is duplicated electronically or in other formats. Items moved from the reference collection to circulating collections will continue to be available and faculty may also request office delivery through KU Libraries Tripsaver service.  As always, subject specialists will consult with faculty when needed.

Q4:      Will it be possible to reverse a decision? (Can something moved to circulation be returned to the reference collection if needed?)

A4:      Yes.  By definition, reference collections contain high-use materials that need to be readily available for consultation.  New items can be added, and items transferred to the circulating collections can be returned to reference upon demonstration of need for this level of access.

Q5:      Will the items on the perimeter walls be moved? If so, where?

A5:      Yes, they will be reviewed and moved to other appropriate shelving.  The National Union Catalog and the British Museum Catalog consume a large amount of physical shelf space around the perimeter of the 3rd floor.  These sets will be relocated to a place with adequate seating and table space for continued study and use.  The NUC and British Museum Catalog will remain non-circulating. 

Q6:      Will Slavic, East Asian and Ready Reference collections be evaluated as well as the main reference collection?

A6:      Yes, these collections are being reviewed or will be reviewed in the near future, following the same procedures in use for general reference collections. 

Q7:      How much growth space will be provided for Watson Reference Collection after the review is complete? 

A7:      Sufficient space for anticipated growth space will be available, but regular reviews of the collection will occur on a continuing basis.  This is true not only in Watson Library but in all branches and locations.
