Promotion and Tenure, Sabbatical Leave, & PTTR Calendar 2013-2014  


Early submissions are encouraged.

 

2013

 

April 15 Candidates for promotion should notify Human Resources Director of intent to commit to the process.

May 7 The Provost’s Office will hold its annual open meeting, 7:00p.m. Alderson Auditorium, Kansas Union.

May 9

LCPT open meeting  to provide update on the committee’s experience with the latest process. All tenure track librarians invited. 10:00a.m. WATS 503A

(Included) Meeting by HR Director (HRD) on administration support/packet preparation for 2013-2014 candidates and supervisors, and mentors.

May 20

Supervisors of candidates for promotion / tenure send to HRD the names of at least seven potential external reviewers (with at least 10 preferred) to address the candidate’s scholarship / research (reviewers may be ranked according to preference, if desired), with contact information, including position titles. Reviewers must be selected according to Guidelines from Office of the Provost.

May 20 wk  HRD works with the Dean, who will select prospective reviewers from the submitted lists, in consultation with supervisors; HRD confirms, on behalf of the Dean—by e-mail—whether the prospective reviewers meet KU standards to serve in that capacity and asks if the prospective reviewers are, in fact, willing to write and return letters by August 30.

May 20 wk      Candidates and supervisors work together to prepare research packets to be delivered to the HRD, who will mail these packets to reviewers on behalf of the Dean, consistent with Guidelines from the Office of the Provost; HRD office will review packets with the Dean and manage copying, etc.

June 3 Candidates deliver external review packets to HRD

June--July

As qualified external reviewers agree to participate, HRD mails packets, over the Dean’s name, requesting return by August 30.

July 8             Supervisors of candidates for promotion / tenure send to HRD a list of individuals who may be asked to provide evaluative comments on the candidate’s professional performance and/or service, with an indication from the supervisor about the nature of the reviewer’s engagement with the candidate (i.e., to cite the nature of the candidate’s contact with the reviewer). Contact information, including position titles, should be included in the list.

June-Aug         HRD receives letters, reviewer c.v.’s, and inserts into proper folder for the process of review.  HRD follows up to encourage return of letters still pending; may call on the Dean in some cases of slow returns. After the receipt of each letter, the Dean will acknowledge receipt and thank the reviewer.

June -Aug        Librarians who are considering applying for sabbatical leave are encouraged to talk with supervisors who will discuss this with AD and Dean and then be able to offer advice about the process, etc

Aug 5 wk       Dean sends email to KULIB-L (Library listserv) requesting written comments regarding P&T candidates’ professional performance / service, with response deadline.

August 30

Candidates for Sabbatical application should notify HR on intent to apply for sabbatical.

Sept 9            P& T candidate files due in HRD office 1st time for Ad Hoc Committee review.

Sept 10 wk           LCPT Ad Hoc Committee member reviews files

Sept 16 wk            Candidate meets with Ad Hoc Committee

Sept 16            HRD receives last of external reviewers’ letters

Sept 23            Sabbatical leave applications due in HRD’s office

Sept 26            Sabbatical Leave Committee begins review of sabbatical files

Sept 30               P& T candidate files due in HRD office

Oct 7  LCPT begins review of P & T files

Oct 21             Sabbatical Leave Committee report due to Dean

Oct 28          Dean’s report on Sabbatical leave applications due to Provost

TBD (end of Nov)

PTTR Informational Meeting. Time TBD

Dec 2  LCPT report on P & T files due to Dean

Dec 9-20   Dean meets with each P&T candidate to convey information about the review, both orally and in writing.

Jan 1   Dean’s report on P & T files due to Provost Office.

Jan 6          PTTR candidate files due in HRD office 1st time for Ad Hoc Committee review.

Jan 6 wk           LCPT Ad Hoc Committee member reviews files

Jan 13 wk            Candidate meets with Ad Hoc Committee

Jan 22  PTTR files due in HRD office.

Feb 3              LCPT begins review of PTTR files.

Mar 3               LCPT report on PTTR files due to Dean.

Mar 10     Dean meets with each PTTR candidate and conveys information on the outcome of the review to the candidate, both orally and in writing.

March 13    Dean’s report on PTTR files due to Provost.
