Report from Discussion with the Dean and HR Officer
- IS-wide Staff Development Committee
- KULSS is interested in ensuring library support staff representation on the committee. Is there anything we can do to make this happen, i.e. begin soliciting names from potential volunteers?
- What is the current timeline for the charges to be made public?
Donna will be presenting a plan to the IS Cabinet this week for their approval. A search for members will begin shortly thereafter. The deadline for the IS-wide staff development council to be in place and set their plan is April 2007. She said that the group will have 9-12 members, and will place strong emphasis on working with subgroups to complete specific projects. This will allow for greater participation across units by people interested in shorter-term commitments.
Lorraine suggested the selection of members be based on a matrix to identify desired skills/talents and ask volunteers to submit a brief description of their skills and how they would best fit into the matrix. She explained that this group will be chosen based more on the skills individuals bring to the group, whereas the Assessment Council was chosen more based on functionality than constituency, i.e. where the assessment would have the most opportunities to happen.
- Status of staff development workshop
- Our group needs to know by November if this will not be IS-wide so we can begin to work on it.
Since the IS Staff Dev council will not be formally operating until next April, Lorraine gave the go-ahead for KULSS Exec to begin working with Donna on setting up our day-long staff development workshop. We will be identifying expertise on campus for presenters at various sessions and searching for suitable locations. (YAY!)
- Status of supervisors forum
- Current progress
Nothing in place yet, but Lorraine suggested the possibility of a brown bag setup as a good way for supervisors to gather and discuss supervision-related concerns. Donna likes this idea and will be looking into ways to make this happen. Following the meeting, Monica suggested Sheila Orth as a possible point person for organizing this, as she has expressed interest in a supervisor’s forum in the past.
- KULSS Exec has recently received questions from staff about current evaluation solicitation. Some staff are asked for comments about their supervisor when their supervisor is undergoing evaluation, but there is no sense as to how consistent this is across units/departments.
- What we’ve done on seeking other evaluation procedures at other universities (July 2004)
Lorraine agreed that a mechanism for evaluating supervisors is indeed a pressing need, and said that everyone needs to know what the procedure is in order for such evaluations to be standardized. She suggested creating a standardized form and including it in a “360°” evaluation process, where supervisors are evaluated by both the people above and below them. She will discuss this with the Assistant Deans (Mary and Kent) in her next meeting with them, with the idea of putting something in place by the next evaluation period. Lorraine noted that while an IS-wide Leadership group will be compiling core competencies for supervisors, a supervisor evaluation program like this will be more library-specific and needs to be monitored at the Assistant Dean level. In addition, she sees a standardized form as the best way to identify trends and to separate personality from performance.
In the meantime, staff are strongly encouraged to bring concerns to Donna, as this is one of the most effective means for identifying and addressing problems.
Planning and Resources Committee Update
Special Charges created. Now has a budget item – review proposals for Parent Campaign.
KULCC-L LISTSERV
Mary Ann (currently an owner of the kulcc- listserv) wondered what changes are in effect regarding the listservs now being under the libraries (per Mary Roach’s 10/31 email to kulib-l). KULSS-Exec was in favor of adding the listserv responsibilities to webmaster responsibilities. Will pursue more information on these changes.
