    Electronic Resources form revisions (Dec. 4, 2002)

    1. First revision is to add a category "Previous Years Total Computer Files" to give carryover figures for computer files in order to provide a total holdings figure. The form now collects the reporting year's CD-ROMs as well as the total of previous years. The online application will calculate the "New Total Computer Files" by adding titles obtained in the reporting statistical year to the previous years' totals. The view/display and JEAL printing table will include the updated collection totals.

    2. Second revision is to remove all categorical expenditures from the Electronic Resources form. The Electronic Resources will carry only one expenditure TOTAL for the year instead of categorized in CD-ROM, on-line accessed journals, and database expenditures. INSTEAD, a new "Electronic Resources" category has been added to the Fiscal Support Form, under the Appropriation and by language: same treatment as Monograph, Serial, Other Materials.

    Rationale:

    a. Maintain consistency of CEAL forms.
    Before the revision, the Electronic Resources form was the only form that carried expenditures other than the Fiscal Support Form. It is logical to have all expenditures/fiscal support under one form, so it does not confuse users whether the electronic resources expenditures are included or excluded from the "fiscal support" dollars.

    b. A total lump sum of expenditures still remains on the Electronic Resources form (not divided by C, J, K, or the format of resources) to provide important information. Since this fast growing and high cost resource has been popular in the publication market, the information may be useful for collection development and for administrative use.

    c. The number of libraries that have filed the forms are still limited at this point. We encourage those libraries who have completed the Electronic Resources form to go back and reconfigure your expenditures into the Fiscal Support form.
