The Library Annex: Letter to Faculty

Dear colleague,

The Libraries will begin the review process of low-use items from the Art & Architecture Library's collection for possible transfer to the Library Annex. Like other library units on campus, the Art & Architecture Library has reached capacity and must identify part of its collection to be stored offsite. I am writing to request your assistance in this process.

This review will include both books and journals. Posted on the Online Review of Annex Materials website, http://www.lib.ku.edu/annex/onlinerev.shtml, are records for Art & Architecture titles that are candidates for transfer. These were selected because they met the criteria of:

  • being part of the collection before 2000 (no books added from 2000-present are candidates)
  • having no record of being checked out since 1980
  • if a journal title, the journal is no longer received by KU; this may include titles that were cancelled, that ceased publication, or changed title and continue under a new title

The goal of this process is to identify 16,000 volumes or about 10% of the Art & Architecture Library's collection for transfer to the Annex. Items stored in the Library Annex will continue to be listed in the Library Catalog with a location that reads: "Valid KU borrowers - click on Recall/Request button - AnnexW". The items are no longer part of the browsable collection but may be recalled for use and should be available within 24 hours.    

On behalf of the Libraries, I invite all faculty members, but especially those in the departments most closely related to the art, architecture, and design subjects, to participate in the process. Please look at the titles posted on the Online Review website. Select any titles that you feel should be retained in the Art & Architecture Library and click the box "Recommend this title not be moved."  If you want to review titles in person by examining them, consult with staff the Art & Architecture Library. We hope to complete the review of the Art & Architecture Library materials by April 30, 2007.

Our goal for this, as for all the Annex projects, is to relieve overcrowding in a cost-effective way in our library buildings through the efficient use of the Library Annex (http://www.lib.ku.edu/annex/). We will attempt to accommodate as many of the recommendations for keeping materials in the open, browsable collections as possible.

PLEASE NOTE: No decisions about titles for the Library Annex are irrevocable. All title-level decisions can be changed. Books processed for transfer to the Library Annex will be retrieved and re-processed for the main-campus collections if they are used regularly, needed for class assignments or long-term research projects.
